When you activate Content Control within a map that you’ve created, you can control what other users can modify in the map. If you share the map password with others, they have full editing capabilities. People who don’t have the password will only be able to update the map elements that you’ve specified.

Example: A project manager can set content control, so that team members can only edit the status and comments. That way team members are not able to destroy a schedule.

By integrating MindManager with Jira, teams synchronize project maps with task assignments, facilitating seamless communication and workflow coordination. As a result, the team delivers the product on schedule. This exceeded stakeholder expectations and created a competitive advantage.

2 – Use case scenario: Event planning. Planning and executing an event can be complex. It requires exceptional organization and structure. The process often includes everything from initial planning to promotion and post-event follow-up. Communication across in-house departments such as sales, marketing, and management is key to clarifying tasks.

Adhering to deadlines and budgets is paramount in event planning. A reliable tool for cost tracking and scheduling is indispensable. All these aspects can be efficiently managed within a single map.

3 - Use case scenario: Manufacturing. Cooling System Renovation Project: Creation of a map detailing the planning, execution, spare parts ordering, maintenance interval management, subsidy processing, etc. All project stakeholders have access to the current project status, their respective tasks, pending actions, and all relevant documents within the map associated with the project. Simultaneously, the View option allows for displaying a Gantt chart and providing a clear timeline.

Production staff can easily capture images of the facility using MindManager Snap and Go and send them to the map queue. The image can then be immediately added to the map. Simply download the MindManager Go app and log in to your MindManager account.

Brainstorming and whiteboarding

Effective brainstorming and whiteboarding are essential for fostering creativity and driving innovation in today's fast-paced business environment. MindManager empowers teams to quickly capture ideas, visualize concepts, and facilitate collaborative ideation sessions.

Teams can unleash their creativity, explore new possibilities, and drive breakthrough innovations by creating interactive whiteboards and visual frameworks.

1- Use case scenario: Product launch. A marketing team seeks to ideate and conceptualize a new product launch campaign. Leveraging MindManager's whiteboarding capabilities, team members collaborate in real time to brainstorm ideas, outline campaign strategies, and define critical deliverables. With MindManager's seamless integration with cloud storage platforms, teams capture and refine ideas on the go, fostering a culture of creativity and innovation. As a result, the marketing team launches a successful campaign that resonates with target audiences, driving brand awareness and market share.

Team knowledge management

Effective knowledge management is paramount to organizational success in today's knowledge-driven economy. MindManager empowers teams to aggregate, organize, and disseminate knowledge with unparalleled efficiency. By creating visual maps encompassing insights, best practices, and institutional knowledge, teams can foster a culture of continuous learning and collaboration.

A multinational corporation seeks to streamline knowledge sharing across its global workforce. Leveraging MindManager's intuitive mapping tools, teams create comprehensive knowledge repositories encompassing industry trends, market insights, and internal best practices.

By centralizing knowledge assets within MindManager Files, employees gain access to a wealth of actionable insights, driving informed decision-making and organizational growth.

1 – Use case scenario: Off- and onboarding of teammates. When a team member leaves the company, complete handovers rarely occur. Those remaining often spend significant time searching for documents and reports, hindering a seamless transition of ongoing tasks and projects.

This frustration is felt by all parties involved and unnecessarily drains company resources. Teams can develop a knowledge map with all necessary team information, to ensure continuity and agility. The knowledge map can evolve alongside your tasks, allowing for status updates, resource additions, and more, keeping the entire team informed and aligned on current priorities and actions.

Meeting management

1 – Use case scenario: Internal team meeting. You have a weekly online status meeting with your team colleagues, during which each person discusses the projects they are currently working on, their status, any obstacles they are facing, and where they may need support. Instead of everyone taking notes individually, simply create a map, link your projects and tasks, track progress, and assign tasks to colleagues where assistance is needed.

For this purpose, you can create a dedicated Teams channel in the MindManager for Microsoft Teams app and add a map as a new tab. This gives you one screen to share Microsoft Teams during the team meeting, guiding your participants through the map.

All meeting participants can make real-time changes to the map. During an on-site meeting, you can also start a co-editing session and project it onto the wall with the projector in the conference room.

2 – Use case scenario: Meeting with external business partners. When meeting with external business partners, they typically don't have MindManager installed or have a license. However, you can still document your meeting in a map, add action items, and share it with external partners. You can do this through the MindManager for Microsoft Teams app, or simply by sharing the map using the publishing function.

Process mapping

With MindManager, you have the freedom to combine various diagram types and views into one, so you’re never limited to one type of flow. Make use of filtering and dynamic views to quickly focus and change perspectives.

MindManager features a wide range of customizable swim lane diagrams, workflow diagrams, and other visual diagram templates that teams use to help streamline their workflow process and improve their bottom line.

MindManager also enables teams to aggregate all important workflow process information into one centralized document by enabling them to link their visual diagrams to web pages, emails, SharePoint documents, and within other project resources. This helps teams to efficiently share workflow information with internal and external company stakeholders.

1 – Use case scenario: Sales process. From order receipt to payment processing, specific processes are followed. The sales department receives the order from the customer through the system and checks the stock. For both scenarios, there must be a process in place.

The product is in stock (Option 1). Then the payment process can be completed, and the information forwarded to the shipping department so that they can automatically ship the product to the customer. However, if the product is not in stock (Option 2), then the order must be temporarily cancelled, and the customer informed.

This process goes through various phases and different departments within a company. This can be optimally represented with a dynamically adaptable, horizontal swim lane diagram.

2 – Use case scenario: Service request through a customer. When a customer submits a service request, the contact person must document the request, open a system ticket, and forward it to the appropriate service department. Upon reviewing the request, it must be determined whether it can be addressed via email or if an appointment is necessary.

Materials related to the request must be prepared, gathered, and made available. Once the customer's issue is resolved to their satisfaction, the service ticket is marked complete, and the system is updated accordingly.

Easy decision making

Each of us makes decisions daily, comparing offers, weighing various options, and ideally conducting a cost-benefit analysis. Using a point system, we assign weights to specific criteria to make the best choice possible.

With MindManager, you can easily create an overview map containing all information, options, and criteria, which can be dynamically adjusted at any time. Utilizing filters and tagging features, you can create a transparent overview that facilitates decision-making.

1-Use case scenario: Purchasing a new coffee machine for your company. You need a new coffee machine for your coffee kitchen and must document accordingly that you have not favoured a specific supplier’s offer.

First, determine what features the new machine should have and how much budget is available. Consider the different types of coffee machines: should they be fully automatic machines, capsule or pod machines, or classic filter machines?

Specify which criteria will help you make the decision, such as price, ongoing costs for complementary goods like capsules/coffee beans, milk, cleaning supplies, etc. You also need to consider the annual maintenance costs of the machine. This leads you to a winner.

From there, you need to determine which tool will help you address these questions and tasks. MindManager is the optimal solution because we provide you with pre-filled or blank map templates to get start right away.

Conclusion

MindManager revolutionizes collaboration by empowering teams to unlock their full potential and drive meaningful outcomes. By embracing MindManager's collaborative ecosystem and leveraging its powerful features and integrations, teams can navigate complexity, foster a "better together" story, and achieve unparalleled success in today's interconnected world.
